Booking calendar
Bookings are saved on your site, so you don’t need a Google Calendar to take them. Go to Client portal → Calendar.
Your calendar
Section titled “Your calendar”Choose Day, Week or Month to change how much you see. Today and the arrows move through the calendar. Colours show:
- Booking request: waiting for you to reply.
- Confirmed booking.
- Not working: time you’ve blocked out.
- Your other calendar: events from a calendar you’ve linked.
- Video call.
- Outside your working hours.
New booking requests are also listed at the top of the calendar.
Select a booking to see its details. From there you can Confirm booking, Cancel booking, edit the details or Delete it.
Block out time
Section titled “Block out time”Select Block out time, or drag across the calendar. Add an optional note under What for? (only you see it), tick All day if you need to, and choose From and Until. Nobody can book during blocked-out time.
Add a booking yourself
Section titled “Add a booking yourself”Select Add booking for bookings you arranged yourself. Under Who booked it you can link the booking to a client’s account on your site, or leave it empty for someone without one. Choose the Type, Day, Start time and How long. Lengths come from your prices table, and the Rate is filled in from your prices.
Working hours & settings
Section titled “Working hours & settings”Select Working hours & settings at the top left. Select Save settings when you’re done.

| Length of an overnight (hours) | How long the overnight option lasts, from 1 to 24 hours. |

Anyone who enters an age below your minimum sees a message saying they must be over that age, and their booking isn’t sent. For age-gating content on your site, see Age verification.
Notice
Section titled “Notice”How much notice you need controls how far ahead clients have to book.
- Hours count from the current time.
- Days and weeks count whole calendar days. “1 day” means clients can book from tomorrow, but not today.
You can add exceptions:
- Add a day rule sets different notice for certain days of the week. For example, you could make weekends need 5 days’ notice.
- Add a date rule sets the notice for one specific date. A date rule beats a day rule.
If more than one day rule matches a day, the strictest one applies. Days that are still inside their notice period show as unavailable.
Show your other calendar here
Section titled “Show your other calendar here”If you already keep a Google, iPhone or Outlook calendar, paste its private link under Your calendar’s private link. Everything in it shows on your calendar, and people can’t book over it. The settings panel has step-by-step help for finding the link in each app.
If your other calendar can’t be reached, bookings still work.
Advanced: Google Calendar developer connection
Section titled “Advanced: Google Calendar developer connection”The older way to connect Google Calendar, with a Google Cloud API key. Most people should use the private link above instead. It has the Google Calendar API key (hidden once saved; leave blank to keep it), Google Calendar ID, and settings for how often your calendar is checked. When it’s set up, new bookings are also copied to that Google Calendar.
Purge bookings
Section titled “Purge bookings”Purge bookings deletes every booking on your calendar, past and upcoming. To confirm, you type the sentence shown. It can’t be undone. Your time off and working hours stay as they are.
Sync with your phone
Section titled “Sync with your phone”Select Sync with your phone, then Make my calendar link. Follow the steps for iPhone or Mac or Google Calendar to add it. Your bookings then appear in that calendar app. New bookings can take a little while to show there, but they always show on your site straight away.
Keep this link to yourself: anyone who has it can see your bookings. If you share it by mistake, open Shared the link by mistake? and select Make a new link. The old link stops working straight away, and you’ll need to add the new one to your calendar app.
What happens when someone books
Section titled “What happens when someone books”- The client chooses a type, date, time and duration, and gives their contact details.
- Your site checks that the slot is still free, using your working hours, bookings, time off, video calls and any linked calendars.
- The booking is saved as a request on your calendar. If the client is signed in to their account, it’s linked to them.
- You get a WhatsApp message with the booking details, sent to your WhatsApp phone number.
- The client sees a message saying their request has been sent and you’ll confirm soon.
If the booking can’t be saved, the client is asked to message you to confirm.
Bookings are deleted automatically 12 months after they end.
